Start Where You Are: Excel Is Totally Okay (But There’s More…)

Most nonprofits I talk to store their data in Excel or Google Sheets—and that’s totally fine. These are powerful tools in their own right. But if you’ve ever struggled to make your spreadsheets feel like a story, it might be time to explore tools that let you build interactive dashboards and visualizations that do the heavy lifting for you.

Tip: If you're not ready to leave Excel behind, you can still use it with more advanced tools. In R (a free, open-source statistical programming language), you can read your Excel files directly with packages like readxl or connect to Google Sheets using googlesheets4. No need to manually export anything.

What If Your Data’s Messy or Incomplete?

You’re not alone. Many nonprofits have legacy datasets with missing values, unclear categories, or outdated information. Don’t let that stop you.

🧠 AI tools like ChatGPT or Claude can help enrich your datasets—filling in common species names, tagging locations, or helping you spot patterns you may have missed. Of course, all edits should be reviewed carefully, but these tools can save you tons of time and spark new ideas.

Think Like a Data Product Designer

Interactive data storytelling isn’t about flashy visuals—it’s about building trust, inviting curiosity, and helping people see the why behind your work. When your data tools feel welcoming and intuitive, your mission becomes impossible to ignore.

This may sound fancy, but it’s really about empathy. Imagine the experience of the person visiting your dashboard: What do they want to see first? What will keep them curious?

Here’s what helped us with the CT Priority Bird app:

  • Simplify complexity: We grouped birds into a visual carousel, making it easier to browse species without being overwhelmed.

  • Use branding and theming: Fonts, colors, and layout matter. They help reinforce your mission and make your data feel like your story.

  • Model after tools you admire: Start by asking: “What websites or apps feel easy to use?” Borrow what works.

This kind of “data product thinking” turns one-time reports into evergreen tools people actually come back to.

Let Your Data Move: Interactive and Geospatial Visuals

Static charts are fine. But interactive ones? That’s where the magic happens.

🗺️ In the CT bird app, we used interactive maps to help people explore sightings by region. Tools like leaflet and plotly in R let your audience zoom in on what's most relevant to them. This builds a sense of connection—your community isn’t just looking at the data, they’re inside the story.

Deploying and Sharing Your Data Story

Once you’ve built a tool, it’s time to get it out there.

🚀 For public apps, platforms like shinyapps.io or Posit Cloud make it easy to deploy with no servers or IT team required.

🧳 In more restricted settings (like fieldwork or sensitive data environments), we’ve also deployed apps using Docker—basically a suitcase that lets you carry your app wherever you go, internet or not.
